Accounts Payable Clerk

We are seeking a detail-oriented and organized Accounts Payable Clerk to join our finance team. This role is crucial in ensuring accurate and timely processing of invoices and payments to subcontractors, suppliers, and vendors according to company policies and procedures.

The ideal candidate will have experience in construction accounting and a strong understanding of job costing principles. Proficiency in Sage and a solid grasp of financial concepts and accounting practices are essential for success in this position. The Accounts Payable Clerk will report directly to the Controller.

Essential Duties & Responsibilities:

  • Process and manage accounts payable transactions, including invoice verification and payment processing.
  • Enter financial data into Sage with a high degree of accuracy and attention to detail.
  • Conduct account reconciliations to verify that all transactions are recorded correctly and discrepancies are promptly resolved.
  • Collaborate with internal departments and/or subcontractors/suppliers to address and resolve invoice discrepancies or payment concerns efficiently.
  • Prepare and schedule weekly check runs to ensure timely payments.
  • Maintain well-organized accurate records of all accounts payable transactions.
  • Assist in tracking costs by job and provide job cost status as requested.
  • Request lien waivers and assist with project closeout.
  • Maintain vendor files and documentation.
  • Process expense reports and ensure compliance with company policies.
  • Assist with monthly reconciliation of company credit card purchases, including job costing and data entry.

Qualifications & Experience:

  • Associate or bachelor’s degree in accounting or related field preferred (or equivalent experience) and 5 + years of experience, preferably in the construction industry.
  • Experience in accounts payable required.
  • Proficiency in Sage accounting software and Microsoft Office.
  • Strong attention to detail and organizational skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
